Refund and Cancellation Policy

Introduction

At WebNX Global Services Private Limited (“WebNX”, “we”, “our”, or “us”), client satisfaction is a core part of our service philosophy. As a company offering customized design, development, and marketing services, we operate under a transparent and fair policy for cancellations and refunds to ensure clarity between us and our clients. This policy outlines the terms and conditions under which cancellations or refunds may be requested and processed for services availed through our website or through direct agreements.

By choosing to work with us or by initiating a service through our platform or sales team, you agree to the terms of this Refund & Cancellation Policy.


1. Scope of Services Covered

This policy applies to all services offered by WebNX Global Services Private Limited, including but not limited to:

  • Logo Design & Branding Services

  • Website & App Development

  • UI/UX Design

  • Social Media Management & Optimization

  • SEO Article Writing & Digital Marketing Services

  • Hiring of Dedicated Developers, Designers, or Handlers

  • eCommerce and Software Development Projects

Each service is governed by a mutually accepted proposal, scope of work (SOW), or invoice issued to the client. Services rendered under custom agreements or subscription plans are also subject to this policy.


2. General Policy on Refunds

Due to the customized and creative nature of our work, refunds are generally not applicable once the work has commenced or intellectual property has been shared.

2.1 No Refunds After Delivery of Any Work

Once any part of the service has been delivered — including design drafts, code files, reports, social media content, or any other creative output — no refund will be entertained, regardless of client satisfaction or change in business priorities.

2.2 Refund Eligibility Window

Clients may request a refund within 7 calendar days of the date of payment provided the following conditions are met:

  • The project has not yet entered the execution or design phase.

  • No portion of the deliverables has been created or shared.

  • The refund request is raised in writing via email to support@webnx.in with subject line “Refund Request – [Project Name]”.

  • The client clearly states the reason for cancellation, and this reason is deemed valid under our internal project governance policies.

2.3 Partial Refunds

In certain rare cases, a partial refund may be granted at our sole discretion, depending on:

  • The nature and volume of work already completed.

  • Time and resources allocated up to the date of request.

  • The degree of custom inputs, research, and third-party costs incurred.

Any approved refund will be processed within 7–10 business days via the original method of payment after deducting applicable taxes, payment gateway charges, or fees for work completed.


3. Services Not Eligible for Refund

Refunds will not be provided in the following cases:

  • Custom design or development projects that have commenced.

  • Subscription services (e.g., social media management or dedicated hiring) where the billing cycle has started.

  • Costs incurred on behalf of the client including domain purchases, hosting, software licenses, plugins, API usage, or ad credits.

  • Services where time-based or hourly billing applies and hours have already been logged.

  • Delays in project delivery caused by the client (e.g., delay in feedback, approvals, or submission of materials).

  • Client dissatisfaction based on subjective preference where the deliverables meet the defined scope.


4. Cancellation Policy

We understand that priorities and business needs change. If you wish to cancel a project or a recurring service, please review the following conditions:

4.1 Project Cancellation (Fixed Cost)

If a client wishes to cancel a project before commencement, the request must be sent via email within 48 hours of payment. In such cases:

  • A full or partial refund may be processed after deduction of administrative charges or pre-production expenses.

  • If the cancellation is made after work has started, the client is liable to pay for all hours or deliverables completed up to that point.

  • No refunds will be issued if the cancellation request comes after a major milestone (such as the delivery of the first design draft, site layout, code push, or social media plan).

4.2 Cancellation of Retainer/Subscription Services

For clients on monthly plans (e.g., SMM, SEO, Dedicated Hiring):

  • You must notify us of your intent to cancel at least 15 days before the start of the next billing cycle.

  • If you fail to cancel in time, you will be billed for the next cycle and no refunds will be made.

  • Any work already completed during the ongoing cycle will be delivered, and access to shared tools or dashboards will be revoked upon termination.


5. Chargebacks and Dispute Resolution

Filing a chargeback without first contacting our team is considered a breach of this agreement.

If you are unsatisfied or have a grievance, please write to us at support@webnx.in before initiating a dispute with your bank or payment gateway. We are committed to resolving all issues amicably and professionally.

Should a chargeback be raised without communication, WebNX reserves the right to:

  • Suspend all ongoing services and deliveries.

  • Report the case to a credit recovery or legal agency.

  • Restrict future engagements with the client or associated businesses.


6. Modifications and Updates

WebNX Global Services Private Limited reserves the right to modify, amend, or update this policy at any time. Changes will be posted on our website and take effect immediately. It is the responsibility of the user to check this policy periodically for updates.

Continued use of our services after any such changes constitutes acceptance of the updated terms.
